GENERAL TERMS & CONDITIONS

While each booking is different, these are our general terms and conditions that apply for every booking.


 

By engaging with GDS Travel Solutions (“we,” “our,” or “us”), including booking travel services or using our website, you (“client,” “you,” or “your”) agree to the following Terms & Conditions.


1. Services Provided

GDS Travel Solutions acts as a travel advisor and booking agent, coordinating travel services including but not limited to:

  • Flights 
  • Hotels and resorts 
  • Transportation 
  • Tours and excursions 
  • Group travel experiences (including destination weddings, corporate retreats, and special events) 

We work with third-party suppliers to fulfill these services.


2. Booking & Payments

  • All pricing is subject to availability and is not guaranteed until confirmed with a deposit or full payment. 
  • Travel pricing is dynamic and may change at any time prior to booking. 
  • If pricing increases by more than $150 per person from the original quote, you will be notified and approval will be required before proceeding. 
  • Deposits and payment schedules will be outlined at the time of booking and must be adhered to in order to secure reservations. 

Failure to make payments on time may result in cancellation of your booking.


3. Cancellations & Refunds

  • Cancellation policies vary by supplier (airlines, hotels, tour operators, etc.). 
  • Refund eligibility is subject to the terms and conditions of each supplier. 
  • GDS Travel Solutions is not responsible for penalties, fees, or non-refundable costs incurred due to cancellations or changes. 

Travel protection/insurance is strongly recommended.


4. Changes to Bookings

  • Any changes requested after booking may be subject to fees and availability. 
  • Suppliers may impose change fees in addition to any service fees. 
  • GDS Travel Solutions will assist in facilitating changes but does not control supplier policies. 


5. Travel Documentation

It is your responsibility to ensure you have the proper:

  • Passports (valid for at least 6 months beyond travel dates, where required) 
  • Visas 
  • Identification 
  • Vaccinations or health documentation 

GDS Travel Solutions is not liable for denied boarding, entry, or travel disruptions due to improper documentation.


6. Client Responsibility & Itinerary Review

By confirming your booking, you acknowledge that:

  • You have reviewed your itinerary for accuracy, including names, dates, times, and destinations 
  • All information provided is correct 

GDS Travel Solutions is not responsible for errors that were not brought to our attention prior to final confirmation.


7. Supplier Responsibility

GDS Travel Solutions acts solely as an intermediary between you and travel suppliers. We are not responsible for:

  • Acts, errors, or omissions of third-party suppliers 
  • Changes in schedules, equipment, or accommodations 
  • Service interruptions, delays, or cancellations 

All bookings are subject to the terms and conditions of the respective suppliers.


8. Force Majeure

GDS Travel Solutions is not liable for failure or delay in performance due to circumstances beyond our control, including but not limited to:

  • Natural disasters 
  • Weather conditions 
  • Pandemics 
  • Government restrictions 
  • Labor strikes 
  • Acts of terrorism 


9. Limitation of Liability

To the fullest extent permitted by law, GDS Travel Solutions shall not be liable for:

  • Any indirect, incidental, or consequential damages 
  • Loss of enjoyment, revenue, or travel experience 
  • Personal injury, loss, or damage during travel 


10. Communication Consent

By working with GDS Travel Solutions, you consent to receive:

  • Email communications related to your booking and travel updates 
  • Optional marketing emails (if subscribed) 
  • SMS/text messages for important travel notifications (if opted in) 

You may opt out of marketing communications at any time.


11. Service Fees

GDS Travel Solutions may charge professional service fees for:

  • Trip planning and research 
  • Group coordination 
  • Changes and revisions 

All applicable fees will be disclosed prior to engagement and are non-refundable unless otherwise stated.


12. Governing Law

These Terms & Conditions are governed by the laws of the State of Ohio, without regard to conflict of law principles.


13. Updates to Terms

GDS Travel Solutions reserves the right to update these Terms & Conditions at any time. Continued use of our services constitutes acceptance of any updates.
